The short version
- We collect what you give us (your profile, listings, applications, messages) and what we need to run the app (your email, device push token if you turn on notifications).
- Your profile is visible to signed-in RosterHire users so employers can find you. Messages are private between participants.
- We don't sell your personal information. We don't show third-party ads.
- You can delete your account — and everything in it — inside the app, anytime.

1. Introduction
RosterHire ("RosterHire," "we," "us") operates a mobile app and website that connect sports organizations — schools, clubs, leagues, colleges, and teams — with coaches, referees, officials, and other sports professionals.
This policy explains what information we collect, how we use it, who can see it, and the choices you have. It applies to the RosterHire app and rosterhire.com.
Some features described here (such as payments, verification, and video interviews) may roll out over time. Where a feature isn't available yet, the related collection doesn't happen yet either.
2. Information we collect

Sign-in
RosterHire uses one-time email codes to sign you in. We never create or store a password for you.
Messages
Messages you send through RosterHire are stored so both participants can read the conversation. Messages are private to the participants; our team does not read them except when required to investigate a report, abuse, or a legal obligation.
Job applications
When you apply to a job, we record the application and share it — including your email and profile — with the organization that posted the job.
Location
We collect the city and state you type into your profile or listings. We do not collect GPS or precise location. If a future feature uses device location (for example, distance-based search), the app will ask for your permission first, and you can decline.
Analytics
We use PostHog, a product-analytics service, to understand how RosterHire is used so we can improve it. We record product events — for example, that a job was posted, an application was submitted, or a message was sent (never its contents) — along with which screens are visited. These events are linked to your account ID and role (organization or coach/official), but not to your name, email, or profile content. We do not use advertising SDKs or cross-app tracking, and we never sell this data. Analytics data is processed by PostHog on servers in the United States. When you delete your account (see "Deleting your account"), email us and we'll delete your analytics data as well.
Cookies
The RosterHire website is a simple informational site and does not use advertising or tracking cookies. The app itself does not use cookies; it uses secure session tokens to keep you signed in.
Notifications
If you enable push notifications, we store a device token so we can deliver alerts you've asked for — new messages, application updates, or job alerts you configured. You can turn notifications off anytime in your device settings.
3. Third-party services
We use a small number of service providers to run RosterHire. They process data on our behalf and can't use it for their own purposes.

If we add a provider that changes how your data is handled, we'll update this policy first.
4. How we use information
- Run the marketplace — show listings, connect applicants with organizations, deliver messages, display availability.
- Keep you signed in and notified — send one-time codes and the notifications you've enabled.
- Keep the community safe — enforce blocks, review reports, prevent spam and abuse.
- Improve RosterHire — understand what's working, fix bugs, build better features.
- Meet legal obligations — respond to lawful requests and enforce our Terms.
We may use automated systems to suggest relevant jobs or candidates (for example, matching by sport and location). These are recommendations only — hiring decisions are always made by people.
We do not sell your personal information, and we do not show third-party advertising.

6. Data retention
We keep your information while your account is active. When you delete your account, we remove your profile, photos, listings, applications, and conversations. Some records may persist briefly in backups, and we may retain limited records where the law requires it (for example, transaction records once payments launch, or safety reports).
7. Your rights and choices
- See and edit your information anytime in the app.
- Delete your account in the app under Profile → Delete account, or by emailing us.
- Control notifications in your device settings.
- Ask us anything about your data at support@rosterhire.com.
Depending on where you live (including California, Colorado, Connecticut, Virginia, and other U.S. states with privacy laws), you may have additional rights to access, correct, delete, or receive a copy of your personal information, and to be free from discrimination for exercising those rights. We honor these requests for all users, regardless of state. We do not sell or "share" personal information as those laws define it.
8. Security
Data is encrypted in transit. Access is controlled with per-user database rules (row-level security), so users can only reach the data they're supposed to. Sign-in codes expire quickly and can only be used once. No system is 100% secure, but we design for least access, and we'll notify you as required by law if a breach affects your information.
9. Children's privacy
RosterHire is not directed to children under 13, and we do not knowingly collect information from them. You must be at least 16 to create an account. If you believe a child has provided us personal information, contact us and we will delete it.
10. Changes to this policy
When we make material changes, we'll update the date above and tell you in the app before the changes take effect. Continuing to use RosterHire after that means the updated policy applies.
